Scheduling an Appointment
After consulting with one of our school psychologists, an appointment is scheduled to complete your child's evaluation. Evaluations can be conducted at our office during weekday or weekend hours. Evaluations are available by appointment only. To schedule an appointment, please contact us at:
We can be reached via phone or e-mail during regular business hours. If we are unavailable at the time of your call, please leave a message. Your call or e-mail will be returned within one business day.
Prior to the Appointment
You may want to talk to your child about the upcoming evaluation. It is recommended that you tell your child that you, along with their teacher(s), are concerned and want to help them do their best. The visit to our office is for us to understand how they learn, and to find ways to help them improve. We recommend that you avoid using words like "test" or "testing". This can put pressure on a child, and may imply that they will either pass or fail. The comprehensive evaluation process explores your child's strengths, weaknesses, and learning styles. It does not include any components that they can "fail". In addition, there is nothing for your child to study prior to their evaluation. Children are asked to complete activities in which they answer questions, look at pictures, and solve problems or puzzles. Most children enjoy the evaluation process, and leave feeling good about their performance. Please make sure your child has a good night's rest the evening before, and has eaten appropriately the day of the evaluation. If your child wears glasses or a hearing aid, they will need to wear them during their evaluation.
Cancelling an Appointment
We require 24-hour advance notice if you are unable to keep your appointment. Clients cancelling with less notice will incur a $75 cancellation charge, unless our staff is in agreement that you were unable to attend due to circumstances beyond your control.
Your family's privacy is of utmost concern to us. The information gathered during the evaluation process is kept confidential, except where required by law. You have the right to expect confidentiality regarding your child's evaluation results. We can communicate with a third party (e.g., staff members at your child's school, their teacher, therapist, physician, etc.) with your permission. To do so, you must complete an Authorization to Release Information form. Only then are we authorized to communicate with that person or organization regarding your child and their assessment results.
Costs for Evaluations
Although an evaluation may seem expensive, it can be one of the most important investments you make in your child's life. By the end of the process, you will be provided a comprehensive report with detailed information about your child's strengths and challenges. In addition, we will provide you with practical suggestions to help your child at home and at school. Results from the evaluation can assist your child's pediatrician or school system to implement any necessary actions.
Our fees cover the following:
• Consultation and evaluation sessions
• Interviews with parents, child, and/or teacher(s)
• Administration of intellectual, processing, achievement, and/or additional evaluation measures
• Comprehensive report with test results, interpretation, and recommendations
• Conference in our office to discuss the evaluation results
Our fees are the sole responsibility of the child's family. We do not bill insurance companies for evaluation costs. However, our fees may be considered an appropriate medical expense through a flexible spending account (FSA). Please check with your employer to determine the guidelines for reimbursed expenses through your flexible spending account.
The fees for your child's evaluation will vary based on the uniqueness of their case. You will receive a quote for your child's evaluation, in addition to a detailed bill for services provided. A deposit of 50% is required prior to the first evaluation meeting/session. The remaining balance must be paid prior to receipt of the evaluation report.
Billing for consultation services, outside report review, research, school-based meetings, travel costs, workshops, additional meetings beyond the report conference, and other services are billed at our group's standard hourly rate ($125/hour). Payment is due upon service.
Payment for Services
Payments may be made by cash, check, or credit card. When necessary, a return check fee for the amount of the check plus a return check charge of $25 will be applied to your account. Payments that are not made within 60 days of becoming due, will accrue interest on the unpaid amount from that date forward at the highest rate allowable by law. The client will be obligated to pay all costs of collection, including reasonable attorney fees when necessary.
